Run payroll in HR

Salaries, allowances and deductions, advances, monthly payroll and payslips.

HR payroll calculates each month from the employee's pay setup and their attendance and leave. It is built for two people: a payroll preparer calculates the month, and a different payroll approver approves it. After approval the run is locked and employees can see their payslips.

Steps

  1. Payroll → Salary components: add allowances and deductions, as a fixed amount or a percentage of basic.
  2. Set each employee's basic salary, hours per day, overtime and lateness multipliers and component amounts.
  3. Record salary advances with a monthly installment.
  4. Choose the month and click "Calculate payroll". Absences, unpaid leave and lateness are deducted and overtime added from attendance.
  5. Fix attendance if needed and "Recalculate", then a different person clicks "Approve". Payslips become visible to employees; export CSV for the bank.
Note: HR payroll does not calculate social insurance or income tax; add them as deduction components.

Good to know

  • Day rate = basic salary ÷ 30, and hour rate = day rate ÷ daily hours. Absence and unpaid-leave days are deducted at the day rate.
  • Overtime = overtime hours × hour rate × overtime multiplier. Lateness = late minutes ÷ 60 × hour rate × lateness multiplier.
  • One installment of each open advance is deducted every month; approval reduces the remaining advance.
  • Active, on-leave and notice-period employees with a pay setup are included; separated employees drop out.

Common questions

Example: basic 9,000, 8 hours a day, one absence. What is deducted?

The day rate is 9,000 ÷ 30 = 300, so one absence deducts 300. The hour rate is 300 ÷ 8 = 37.5, which is used for overtime and lateness.

Can the person who calculated payroll also approve it?

No. The approver must be a different person from the preparer. Once approved, the month cannot be recalculated, so make corrections in the following month.

Does HR payroll post to Accounting?

No. HR and Accounting are separate systems. Export the payroll CSV for the bank, and record the salaries in your books separately.
