Issue a sales invoice

Create, check and post a sales invoice with VAT.

A sales invoice records a credit sale to a customer. When you post it, Cutme writes the journal for you: the customer's receivable is debited with the total, each line's revenue account is credited, and the VAT goes to VAT Output (2102). Invoices are numbered automatically in the form SI-year-number.

Steps

  1. Receivables (Sales) → Sales Invoices → New Invoice.
  2. Select the customer and the date, and add a reference if you use one.
  3. Check the VAT % for the invoice; it starts from the default in your Settings (14% if none). One VAT rate applies to the whole invoice.
  4. Add a line per item or service: revenue account, description, quantity and unit price.
  5. Check the subtotal, VAT and total, then click "Save draft" to keep it unposted or "Save & Post" to post it to the ledger.
Note: A posted invoice cannot be edited or deleted. To correct it, reverse its journal entry from General Ledger → Journal Entries and issue a new invoice.

Good to know

  • Totals are calculated as: line total = quantity × unit price; VAT = subtotal × VAT % / 100; total = subtotal + VAT, each rounded to two decimals.
  • Lines with no account or a zero amount are ignored, and at least one valid line is required.
  • A draft invoice has no edit screen: delete the draft and enter it again.
  • If your company issues ETA e-invoices, the posted invoice can be sent from the E-Invoicing (ETA) menu once the e-invoicing settings are complete.

Common questions

Can I use different VAT rates on one invoice?

No. The VAT % is set once per invoice and applies to all its lines. If you sell items at different rates, for example 14% and zero-rated, issue a separate invoice for each rate.

What happens to the original invoice after I reverse its journal?

The reversing entry cancels the amounts in the ledger, but the invoice itself keeps the status "posted" and still appears in the customer statement and the VAT return. Take this into account when you review them. An ETA credit note is available only for invoices that were submitted to the ETA.

Can I post an invoice dated in a closed month?

No. The invoice date must fall in an open period of an open fiscal year. Reopen the period from General Ledger → Fiscal Years if the year is still open, or use a date in an open period.
