Set up Cutme Accounting
Fiscal year, chart of accounts, opening balances, cash and bank accounts, users.
Cutme Accounting is double-entry: every posted invoice, receipt, payment or journal writes balanced debit and credit lines to the general ledger. A new company starts with an Egyptian chart of accounts, the current calendar year with twelve open monthly periods, and ready tax rates (VAT 14%, zero-rated, exempt, and withholding 1%, 3% and 5%).
Steps
- General Ledger → Fiscal Years. The current calendar year is already created with twelve monthly periods. Create later years yourself with "New Fiscal Year" before you post into them, and use "Set current" on the year you work in.
- General Ledger → Chart of Accounts. Review the ready-made Arabic/English chart and add accounts with "New Account", choosing the parent account. Group (header) accounts cannot be posted to.
- Enter opening balances: on a new account you can type its opening balance and side when you create it; for the ready-made accounts, post one balanced opening journal entry.
- Treasury → Cashboxes and Bank Accounts: add each cashbox and bank account. A ledger account is created for each automatically.
- Administration → Settings: choose your language, currency and the default VAT % that new sales invoices start with (14% if empty). Tax → Tax Rates holds the reference list of VAT and withholding rates.
- Administration → Users → New User: enter the name, email, password and role (Manager, Employee or Private).
Good to know
- Do not delete or renumber the system control accounts, such as 1103 Accounts Receivable, 2101 Accounts Payable, 2102 VAT Output and 3202 Current Year Result. Automatic postings find them by code.
- An account's opening balance can be entered only when the account is created; it cannot be edited later. Make sure the opening balances you enter are balanced, or the trial balance will not agree.
- Customer and vendor opening balances appear in their statements only; they are not posted to the general ledger. Post the matching amount to the receivable or payable account yourself.
- Settings such as language and default VAT are saved per user, so each colleague sets their own.
Common questions
Do I have to build the chart of accounts from scratch?
No. A ready chart of accounts with Egyptian control accounts is created with your company, in Arabic and English. Add the sub-accounts you need, for example separate revenue accounts per product line, under the right parent.
Why does posting say no accounting period exists for this date?
Only the year your company was created in is set up automatically. Create the fiscal year that contains the date from General Ledger → Fiscal Years → New Fiscal Year, then post again.
What if a colleague cannot open a screen?
Permissions are linked to the user's role, and the role permissions are set by Cutme for all companies. If a colleague sees "You are not allowed to perform this action", check their role in Administration → Users or contact Cutme support.
