Post and reverse a journal entry

Manual entries, cost centres, posting and correcting by reversal.

Use a manual journal entry for anything that has no dedicated screen: opening balances, accruals, corrections or reclassifications. Invoices, receipts, payments, treasury movements, depreciation and payroll create their journals automatically, so you do not need a manual entry for them.

Steps

  1. General Ledger → Journal Entries → New Entry.
  2. Enter the date and description, then add debit and credit lines with their accounts. Optionally tag a line with a cost center.
  3. The entry can be posted only when total debit equals total credit. Click "Save draft" or "Save & Post".
  4. Posted entries cannot be edited or deleted. To correct one, open it and click "Reverse"; a reversing entry is posted, then enter the correct one.

Good to know

  • An entry needs at least two lines. Each line is either a debit or a credit, never both, amounts cannot be negative, and the total must be greater than zero.
  • Group (header) accounts and inactive accounts cannot be used on a line.
  • The entry date must be in an open period of an open fiscal year. A reversing entry is dated today, so today must also be in an open period.
  • Draft entries can be edited or deleted. Changes to journals are kept in Administration → Audit Trail.

Common questions

What does "Reverse" do exactly?

It creates and posts a mirror entry with the debits and credits swapped, dated today, with the original entry number as its reference. The original entry is marked reversed. You then post the correct entry.

What is a cost center used for?

A cost center tags journal lines by department, branch or project. General Ledger → Cost Centers has a report that totals ledger amounts per cost center for the dates you choose, and budgets can be set per account and cost center.
