Read your accounting reports

Trial balance, ledgers, financial statements and statements of account.

All accounting reports are built from posted entries only; drafts do not appear until they are posted. Start with the trial balance to confirm the books balance, then use the financial statements for the period and the statements of account for individual customers and vendors.

Steps

  1. General Ledger → Trial Balance: check that debits equal credits for any date range.
  2. General Ledger → General Ledger: every posted movement by account.
  3. Financial Statements → Income Statement, Balance Sheet and Cash Flow for the period you choose.
  4. Financial Statements → Customer Statement / Vendor Statement to send a balance to a customer or check a supplier.
  5. Cost Centers and Budgets (under General Ledger) give totals per cost centre and budget against actual.

Good to know

  • The Income Statement, Balance Sheet, Cash Flow, customer and vendor statements, VAT return and withholding report have a Print button. Use your browser's "Save as PDF" in the print dialog to keep a copy.
  • Opening account balances are always included in the trial balance, whatever date range you choose.
  • Opening an account from the chart shows its own ledger with a running balance that starts from its opening balance.

Common questions

Why is my trial balance not balanced?

Usually the account opening balances you entered do not balance: total opening debits must equal total opening credits. Review the opening balances in the chart of accounts, or correct the difference with a journal entry.

Can I export reports to Excel?

Not at the moment. Accounting reports can be printed or saved as PDF from the browser's print dialog.

Why does a customer statement show a different balance from the receivables account?

A customer's opening balance is used only in their statement and is not posted to the ledger. If you entered opening balances on customers, post the matching total on account 1103 so both agree.
