Receive stock with a purchase

Record a purchase to add stock, and a purchase return to send it back.

Record every delivery from a supplier as a purchase as soon as it arrives. Saving the purchase raises the stock of each product on it, and the purchase appears in each product's movement history and in the purchase reports.

Steps

  1. Purchases → Create Purchase.
  2. Select the supplier and date, then add each product with its quantity and unit price.
  3. Enter the tax and discount for the purchase, and check the total.
  4. Save. The stock balance of every product on the purchase increases automatically.
  5. To send goods back: Purchases → Purchase Return. Select the supplier, add the products and quantities returned, and save; stock decreases.

Good to know

  • Total = subtotal (quantity × unit price for each line) + tax − discount. Quantities are whole numbers, and the discount cannot be larger than the subtotal plus tax.
  • A purchase return needs the stock to be available: you cannot return more than you currently hold.
  • A purchase return is not linked to a specific purchase; record the supplier and the quantities returned.

Common questions

Can I edit or delete a purchase after the goods were sold?

Only if stock would not go negative. If part of the goods has already been sold, the edit or deletion is refused; record a purchase return for the remaining quantity instead.

Does a purchase in Warehouse create an entry in Accounting?

No. Warehouse and Accounting are separate systems with separate databases. Record the purchase invoice in Accounting as well if you keep your books there.
